COVID-19 vaccination policy

GrowEasy Solutions Corp has no company-wide COVID-19 vaccination requirement. This policy explains how we approach work-related requirements, accommodations and health-information privacy.

Last updated: October 7, 2026

No company-wide vaccination requirement

GrowEasy does not impose a company-wide COVID-19 vaccination requirement. Proof of COVID-19 vaccination is not a routine condition of ordinary remote work or a standard requirement for applying for a role. GrowEasy is not currently hiring. Any lawful requirement specific to an in-person activity or external location will be assessed and communicated separately.

Scope

This policy concerns COVID-19 vaccination in GrowEasy Solutions Corp’s own workplace and work-related activities. It is intended for applicants, employees and, where relevant to an engagement or site visit, contractors. It does not establish vaccination rules for GrowEasy customers, their workers or users of GrowEasy software.

In-person work and external locations

A particular location or activity may be subject to applicable law, a public health order or a lawful site-specific requirement. GrowEasy will review relevant requirements before arranging affected in-person work and explain any requirement that applies to the role or visit. A third party’s rule does not automatically become a company-wide rule. Where a requirement creates a barrier, GrowEasy will consider applicable accommodation obligations and practical alternatives, such as remote participation or a different assignment.

Accommodation and respectful treatment

Anyone who may need an accommodation related to a protected characteristic can contact GrowEasy to discuss the barrier and possible adjustments. Requests will be assessed individually under applicable human rights requirements. Team members must not harass others, demand a colleague’s vaccination information or disclose another person’s health information. Asking a question or requesting an accommodation in good faith must not result in retaliation.

Health information and privacy

Where health information is necessary for a specific lawful purpose, GrowEasy will explain the purpose and applicable authority, limit collection to what is reasonably necessary and provide information about how it will be used. Access will be restricted to people who need the information for the identified purpose. Records will be protected and kept only for as long as that purpose and applicable legal requirements justify. Health records will not automatically use the retention schedule for customer workspace data or sales inquiries. Do not send vaccination certificates, identification documents or medical records through the website’s booking or general inquiry tools; contact GrowEasy first to arrange an appropriate process.

Illness prevention and attendance

Vaccination status is only one consideration in workplace health and safety. People should not attend an in-person work activity when they may expose others to a communicable illness; they should notify the appropriate contact and discuss applicable leave, remote participation or rescheduling. GrowEasy will assess relevant workplace risks and follow applicable public health and workplace safety requirements. An individual’s healthcare decisions should be discussed with a qualified healthcare professional.

Changes to requirements

GrowEasy will review this policy if work activities, public health requirements or relevant risks change. Any proposed new requirement will be assessed for necessity, proportionality, privacy and accommodation implications and communicated to affected people before it is applied, except where an immediate legal or safety obligation requires action sooner.
